Shopify agency or freelancer: which one fits your project

Choosing between an agency and a freelancer for your Shopify store has less to do with who is better and more to do with what your project needs. A one-off change to a section and a full redesign with a migration and integrations call for different profiles. Here are the criteria we use to recommend one option or the other, even when the answer is not us.

What really separates an agency from a freelancer

A freelancer is one person who combines several skills: usually Liquid theme development, some design and a good knowledge of the admin. An agency is a team with separate roles: someone designs, someone develops, someone migrates data, someone reviews and someone manages the project. Both can do excellent work or poor work; what changes is how many fronts can be covered at once and what happens when one piece fails.

The difference lies less in code quality and more in structure. With a freelancer you talk directly to the person writing the code, which speeds up small decisions a lot. With an agency there is a more formal process, with phases, deliverables and reviews, which protects the project when it is large or when many people are involved on your side.

When a freelancer is the better fit

A good Shopify freelancer is the sensible choice for contained work with a clear scope. If your store is already running and you need a new section, tweaks to the product page, a few metafields wired up or a theme bug fixed, hiring a full team is usually overkill.

It also fits when the budget is tight and the store is simple: a small catalog, a well chosen theme from the Theme Store and few integrations. In that scenario, what matters is that the person knows Online Store 2.0 well and does not fill the store with apps to solve what can be done with code.

  • Tweaks and new sections on a theme that already works
  • One-off design or performance fixes
  • Small stores with few integrations
  • Low-volume technical support with no urgency

When an agency is the better fit

When a project touches several disciplines at once, the risk of relying on a single person grows. A redesign with a custom theme, a migration from WooCommerce or PrestaShop with redirects, a multi-country store with Shopify Markets or a B2B channel with catalogs and terms per customer all need design, development, data and SEO working together. That is where an agency brings method and capacity.

Another factor is continuity. If the store is your main sales channel, you need someone to respond even when one person is on vacation or out sick. And if you plan to grow into Shopify Plus, with checkout extensions or Shopify Functions in custom apps, it pays to work with a team that has already built that kind of thing.

  • Custom theme with its own design
  • Migrations with products, customers, orders and 301 redirects
  • International selling across several markets and languages
  • B2B, ERP integrations or Shopify Plus development

Risks to watch in both cases

The most serious risk is not owning your own work. Make sure the store is in your name, that you are the owner of the Shopify account and that the theme code stays with you. Anyone working on your store should log in with a collaborator account or a staff account, never with your main login.

The second is working without a written scope. Whether you hire a freelancer or an agency, ask for a clear statement of what is delivered, what is excluded and how changes that come up mid-project are handled. The third is going live without testing: any significant change should be made on a theme copy or a development store before touching the live store.

Questions to help you decide

Answer these questions before asking for quotes. They help you know which profile you are looking for and compare proposals by the same yardstick.

  • Is this a one-off job or a project with several phases?
  • Do you need your own design, or is adapting an existing theme enough?
  • Is there a data migration, integrations or more than one country?
  • What happens if the person or the team is unavailable for a month?
  • Who will own the store, the theme and the access?
  • Is training included so your team can work on its own afterwards?

How we work at Weblineo

We are an agency that has worked only with Shopify since 2016, and we are a Shopify Plus Partner. We work remotely with brands across Spain and abroad, over video calls. Every project starts with a conversation, continues with a fixed-price proposal in writing and is built on a development store before going live.

Everything is custom-coded, with no templates, and the theme belongs to the client. Training is included in every quote and, after launch, we support the store for 30 days, with optional maintenance plans afterwards. If your need is small and one-off, we will tell you so: sometimes a good freelancer is exactly what you need.

Frequently asked questions

Is a freelancer cheaper than a Shopify agency?

For small jobs it usually is, because there is no structure to maintain. On large projects the comparison depends on the real scope, the risk of delays and what it costs to fix mistakes later.

Can I start with a freelancer and move to an agency later?

Yes, as long as the theme code and the store are yours. An agency can audit what is there and decide whether to improve on that base or rebuild parts of it.

How do I give access to my store without sharing my password?

With a collaborator request sent from the Partner Dashboard of whoever will do the work, or by creating a staff account with only the permissions needed. Never share your owner login.

Do Shopify agencies work with small stores?

It depends on the agency. The reasonable thing is for them to tell you honestly whether your project fits the way they work or whether another profile suits you better.
